Testing guide

Try everything Aegis does, one step at a time.

Follow the chapters in order, or jump to the part you want. Each step says what to click and what should happen. If what you see matches, that part works. If it doesn’t, the step tells you what to do.

What you need
You needDetails
The linkThe web address you were sent. Nothing to install.
A browserChrome works best, on a laptop or a phone. Safari and Edge also work.
A microphoneOnly for the parts where you talk to Aegis. A laptop or phone microphone is fine.
About an hourFor everything. Each part stands on its own, so you can stop and come back.
  • The first time you open the link you may see a page saying “You are about to visit…”. Click Visit Site. It appears once.
  • Steps marked “Needs the AI service” use Aegis’s AI assistant. If it is switched off or busy, those steps say so politely, and everything else still works.
  • Nothing you do here affects a real organisation. Create, change and delete freely.

Sign-in details

Every account below uses the same password: 00000000
Sign in at /login. To try the journey a new client takes, create your own account at /signup instead: it signs you straight in and asks you to set up your organisation. No email confirmation is needed.
People you add on a Members page, or that RAMSYS registers, start with the password 00000000 and choose their own the first time they sign in.

These accounts are already set up: RAMSYS staff, and people at a sample client, Ghana Cocoa Board (COCOBOD), whose assessment is finished and whose documents are signed. Who you sign in as decides what you can see.

Test it, step by step

Every step has the same parts. Do this is what to click. You should see is the test: if every line matches, that part works. If it doesn’t says what to do. Some steps also have a line to tell your audience, for when you are showing Aegis to someone.

Chapter 1: Look around the public site

Someone who has never heard of Aegis can understand what it does before signing up.

About 3 minutes

Read the site as a visitor would

Do this
  1. Open the link you were sent. You land on the home page.
  2. Scroll the home page to the bottom.
  3. Click Platform, then Frameworks, in the menu at the top. On a phone, the menu is behind the Menu button.
You should see
  • The AEGIS name with the RAMSYS logo beside it, at the top of every page.
  • Pages that load quickly and read clearly on your screen size.
  • Frameworks lists Ghana’s and The Gambia’s laws, and international standards.

If it doesn’tA blank page or one that never finishes loading usually means the test version is switched off. Tell the person who sent you the link.

Chapter 2: Create your account and your organisation

A new client can get started on their own, in about a minute.

About 3 minutes

Create an account

Do this
  1. Click Create account (top right; on a phone, inside Menu).
  2. Enter your name, any email address and a password of at least 6 characters, such as “kente7”.
  3. Tick the box to accept the terms, and click Create account.
You should see
  • You are signed in straight away. There is no email to wait for.
  • A page titled “Set up your organisation”.

If it doesn’tIf it says the password is too short or too common, choose a longer phrase. If it says the email is already in use, sign in instead, or use a different email.

Create your organisation by typing

Do this
  1. Type your organisation’s name, for example “Accra Women in Business Ltd”.
  2. Choose the sector, type an industry such as “banking”, and click Create organisation.
You should see
  • Your organisation’s own Setup page, with a checklist of four steps.
  • Your organisation’s name at the top of the left-hand menu, marked Unverified until RAMSYS confirms it.
Tell your audience

“That is the whole sign-up. From here, Aegis guides you through four steps.”

Or create it by speaking

Needs a microphone and the AI service
Do this
  1. Create a second account (or use a different browser), and stop on “Set up your organisation”.
  2. In the panel above the form, read the short consent note and click to agree.
  3. Allow the microphone when your browser asks.
  4. Say something like: “We are Kumasi Fresh Foods, a private company in agriculture.”
You should see
  • Aegis talks back, out loud.
  • The form fills itself in as you speak, and the filled fields are highlighted.
  • Nothing is created until you click Create organisation yourself.

If it doesn’tIf no panel appears, or it says voice is unavailable, the AI service is off or busy. Typing works the same.

Tell your audience

“Many people would rather talk than type. Aegis fills in the form from what you say, and you check it before anything is saved.”

Chapter 3: Set up your organisation

Setup is short, done once, and decides what each department is asked.

About 5 minutes

Add departments and the person who signs

Do this
  1. On Setup, under Departments, type “Finance”, leave the function as it is, and click Add department.
  2. Add a second department, “Human Resources”, and choose the HR function.
  3. Under Signatories, add a name and a title such as “Chief Executive”, and click Add signatory.
You should see
  • Each department appears in the list, with the question pack it will be asked.
  • The Departments and Signatories steps get a tick.
Tell your audience

“Each department gets questions that fit what it does. HR is asked about hiring tools; Finance about money decisions.”

Brand your documents (optional)

Do this
  1. Under Branding, change the primary colour (for example to #7A1F1F), and type an address.
  2. Click Save branding.
You should see
  • A short confirmation. The colour and address will appear on your documents later.

Add departments by speaking

Needs a microphone and the AI service
Do this
  1. At the top of Setup, open the “Set up by speaking” panel, agree, and allow the microphone.
  2. Say: “We also have a Legal department, and the policy will be signed by Abena Mensah, our Managing Director.”
  3. Look at the cards that appear, and click Add on the ones you want.
You should see
  • A card for each thing you said: the department, and the signatory with their title.
  • Nothing is added until you click Add. A department you already have is labelled Already added.

If it doesn’tNo panel, or “voice is unavailable”: the AI service is off or busy. Use the forms instead.

Start the assessment

Do this
  1. Under Launch the assessment, choose the engagement type. Keep Readiness assessment to follow this guide.
  2. Keep the suggested name and click Launch assessment.
You should see
  • The last step gets a tick.
  • Interviews in the left-hand menu now lists one interview per department, each marked Not started.
Tell your audience

“Most clients start with readiness on its own. If they go on to want a policy, the same interviews carry straight over; nobody is asked the questions twice.”

Chapter 4: Answer an interview by typing and clicking

A busy manager can answer in a few minutes, one plain question at a time.

About 8 minutes

Open a department’s interview

Do this
  1. Click Interviews in the left-hand menu.
  2. Open the Finance interview.
You should see
  • One question on screen at a time, in everyday language.
  • A progress bar and “0 of 13 answered” (the number depends on the department).

Answer the questions

Do this
  1. Click an answer button for each question.
  2. Where it says “Tick everything that applies”, tick some boxes and click Record this answer.
  3. Watch the total number of questions as you go.
You should see
  • Each click moves straight on to the next question.
  • Some answers add a follow-up question, marked “follow-up”, and the total goes up by one.
Tell your audience

“The interview listens. What you answer decides what it asks next, so nobody wades through questions that do not apply to them.”

Answer in your own words

Needs the AI service
Do this
  1. On any question, type into “Or answer in your own words”, for example: “Yes, the board approved it last year.” Click Send.
  2. On the next question, type something vague: “I think so? Not sure.”
  3. On a question about AI tools, type: “We use ChatGPT to draft letters to customers.”
You should see
  • The clear answer is understood and recorded, and the next question appears.
  • The vague answer is not recorded. Aegis asks you to be more specific.
  • ChatGPT is added to the organisation’s AI register.

If it doesn’tIf it says the assistant could not answer, the AI service is busy. Use the answer buttons instead.

Tell your audience

“When it is not sure what you meant, it asks again rather than guessing. A guess would end up in your score.”

Let a policy you already have answer for you

Needs the AI service
Do this
  1. Click “Have a policy document? Upload it and skip ahead”.
  2. Upload any policy as a PDF or Word file, such as an IT or data protection policy.
You should see
  • A list of questions the document seems to answer, each with the exact sentence it was taken from.
  • Nothing is recorded until you accept each suggestion.

When it asks for proof

Do this
  1. For some answers Aegis asks: “Can you attach something that evidences this?”
  2. Attach a document, or click “I cannot attach one now”.
You should see
  • If you skip, it moves on and notes that this answer will count for less without proof.

Check your answers and submit

Do this
  1. At the end, read the page titled “Is this what you told us?”.
  2. Click Confirm and submit.
You should see
  • Every answer listed back to you, with a note beside any that had no proof attached.
  • After submitting, “Thank you — this department is done.”
  • The department’s scores fill in one by one. Where the law caps a score, part of the bar is taken away and the reason is written underneath.
Tell your audience

“Nothing counts until you have checked it. Then you see the score straight away, including the part the law takes away.”

Chapter 5: Answer an interview by speaking

Someone who will not type can still complete the assessment by talking.

About 6 minutes

Have a spoken interview

Needs a microphone and the AI service
Do this
  1. Open the Human Resources interview (or any one not yet finished).
  2. In the “Answer by speaking” panel, read the note and click “I agree — start speaking”.
  3. Allow the microphone.
  4. Listen to the question, then answer out loud, as you would to a person.
You should see
  • Aegis asks each question out loud, in its own words, and waits for you.
  • Your answers are recorded and the progress count goes up.
  • The buttons stay on screen, so you can switch to clicking at any time.

If it doesn’tIf the panel says voice is unavailable, the AI service is off or busy. If Aegis cannot hear you, check that the browser is allowed to use the microphone (the icon in the address bar).

Tell your audience

“It is a conversation, not a form. And you can stop talking and carry on by clicking whenever you like.”

Mix speaking and clicking

Needs a microphone and the AI service
Do this
  1. Answer two questions by voice, stop the voice session, and finish with the buttons.
  2. Submit.
You should see
  • On the review page, spoken and clicked answers sit together in one list.

Chapter 6: Read your results

The results are clear enough to put in front of a board.

About 5 minutes

The readiness score

Do this
  1. Click Overview in the left-hand menu.
You should see
  • An overall score out of 5.
  • A bar for each area, such as data protection and accountability.
  • Where the law holds a score down, a shaded part of the bar and a plain sentence saying why.
Tell your audience

“Even if everything else is good, some legal gaps put a ceiling on the score. The board sees that ceiling and the reason for it, not just a number.”

The readiness report

Do this
  1. Click Readiness report in the left-hand menu.
  2. For a full example, sign in as consultant@ramsys.test and open Kumasi Mutual Savings (demo), then Readiness report.
You should see
  • A radar of every area against the target level, with a dashed line showing each score before any legal cap was applied.
  • A grid of scores by department and area. A department that has not been interviewed reads Not assessed.
  • For each department, its top three gaps, each with the law or standard it comes from.
  • Charts of the findings and the AI tools by risk, a 30/60/90-day plan, and numbered recommendations.
  • When the gaps call for one, a recommendation to commission an AI governance policy, with the reasons.
Tell your audience

“This is the report a readiness client pays for. The charts on this page and the charts in the PDF are drawn from the same numbers, so they always agree.”

The findings

Do this
  1. Click Findings.
You should see
  • Each requirement marked met, partly met, gap or not applicable.
  • Each one labelled binding (the law requires it) or benchmark (good practice).
  • The law or standard each one comes from.

The AI register

Do this
  1. Click AI register.
  2. For a full example, also open COCOBOD’s register at /cocobod-demo/register (sign in as the consultant).
You should see
  • Every AI tool the interviews uncovered, with how risky it is and why.
  • Your own register is empty unless you named an AI tool in your own words or by voice.
Tell your audience

“Nobody filled this in by hand. It comes from what each department said it uses — and for most organisations, that list alone is a surprise.”

Chapter 7: Get your AI policy documents

The assessment produces ready-to-sign documents in seconds.

About 5 minutes

Create the documents

Do this
  1. Click Documents.
  2. Click Generate deliverables, and wait a few seconds.
You should see
  • The Executive Readiness Scorecard and the AI Readiness Assessment Report. A policy engagement also gets the Master Corporate AI Policy and one SOP Playbook for each department that finished its interview.
  • Each marked draft, version 1.

If it doesn’tIf there is no Generate button, no department has submitted its interview yet. Finish one first.

Open them

Do this
  1. Click PDF next to the Master Corporate AI Policy.
  2. Go back and click the policy’s name, then “Read in browser” and “Download DOCX” (Word).
  3. Open a department playbook.
You should see
  • Your organisation’s name, colour and address on the documents.
  • The word “Draft” on every page until RAMSYS approves and the signatories sign.
  • A playbook checklist built from that department’s weakest answers.
Tell your audience

“These are built from wording RAMSYS’s lawyers have reviewed, not written from scratch by a computer. The AI may smooth a few sentences, but it cannot change the legal clauses.”

See what finished, signed documents look like

Do this
  1. Sign in as consultant@ramsys.test.
  2. Open Ghana Cocoa Board (demo), then Documents (/cocobod-demo/documents).
  3. Open the Master Corporate AI Policy PDF.
You should see
  • Every document marked signed, with who approved it.
  • In the PDF, a signature page with each signatory and the date they signed, and no “Draft” mark.
  • A verification code and QR code on the document.

Comment on a document in review

Do this
  1. Sign in as consultant@ramsys.test, open Kumasi Mutual Savings (demo), then Documents.
  2. Open the AI Readiness Assessment Report. It is still in review, and already has comments from the client.
  3. Select a sentence, click Comment, and choose a kind: question, reservation, suggestion or note.
  4. Add a reference: a link, a citation such as “Act 843, s. 27”, or a file. Then post it.
  5. Post a second comment, and under Who can see it choose RAMSYS staff only.
  6. Reply to a comment, then resolve it. Use the Open, Resolved and Mine tabs to filter.
  7. Click Notifications in the left-hand menu.
You should see
  • The commented text is highlighted, and the comment sits beside it. Clicking one scrolls to the other.
  • The references listed under the comment, and the clause or legal point it sits on linked automatically.
  • A Staff only label on the staff-only note.
  • Open comments counted next to the document on the Documents page, and unread ones counted beside Notifications.
Tell your audience

“When someone at the client has a doubt about a draft, it is raised on the exact sentence, with their evidence, and it stays on the record.”

See comments as the client

Do this
  1. Sign out, and sign in as md@kumasi.test.
  2. Open Documents, then the AI Readiness Assessment Report.
  3. Reply to the consultant’s answer on the question about the overall level.
You should see
  • Every comment and reply from the client and from RAMSYS, with RAMSYS staff shown as “Name (RAMSYS)”.
  • No staff-only notes, and no files attached to them.
  • Signed back in as the consultant, a new notification for the reply.

If it doesn’tIf the client can see a staff-only note or its file, stop testing and report it: that is a privacy fault.

Comments follow the document to its next version

Do this
  1. As consultant@ramsys.test, open Kumasi Mutual Savings (demo), then Documents.
  2. Click Generate deliverables to make version 2 of the report, and open it. New comments go on the newest version only.
You should see
  • The comments from version 1 sit on the same sentences in version 2.
  • A comment whose text no longer exists is listed under On earlier versions, instead of being lost.
  • Version 1 is marked superseded. Version 2 starts as a draft: click Start review to open it to the client’s comments again.

Turn a readiness client into a policy client

Do this
  1. Sign in as consultant@ramsys.test and open Kumasi Mutual Savings (demo), then Readiness report.
  2. Click Upgrade to policy engagement.
  3. Open Documents and click Generate deliverables.
You should see
  • The readiness report’s recommendations read “AI governance policy in preparation” instead of recommending one.
  • The Master Corporate AI Policy and the department playbooks appear as new drafts.
  • Every interview answer and score is unchanged.

If it doesn’tOnly the assigned RAMSYS consultant sees the Upgrade button. Clients do not.

Tell your audience

“Upgrading keeps everything the client already told us. Only the policy documents are new.”

Chapter 8: Run a review round

A client’s doubt about a document becomes a question, an answer, a recalculated score and a new version, with every step on the record.

About 12 minutes

Start a round on the comments

Do this
  1. Run pnpm demo:reset first if you have been testing comments: the round needs a report with no round open.
  2. Sign in as consultant@ramsys.test, open Kumasi Mutual Savings (demo), then Documents, then the AI Readiness Assessment Report. It is in review.
  3. In the Start a review round panel, tick the question from Kofi Mensah and the reservation from Efua Owusu.
  4. Click Start a review round.
You should see
  • Only the client’s comments can be chosen. The staff-only note and the consultant’s own comments are not offered.
  • The panel now reads as round 1, collecting, with both comments listed.
  • Only one round can be open on a document at a time.
Tell your audience

“When a client raises a doubt, we do not just reply. We ask them, in a structured way, what we need to know to put it right.”

Draft and approve the follow-up questions

Do this
  1. Click Draft follow-up questions.
  2. Read each question. Click Approve on the ones to ask, and Drop on the ones that are not worth asking.
  3. Click Add a question, choose Kofi Mensah’s comment, and write your own. Link it to a scored question such as the one about how often access is reviewed.
You should see
  • One or more questions for each person, each quoting what that person said.
  • Approved questions marked Approved. Dropped ones move into a Dropped questions list.
  • A question linked to a scored question takes that question’s answer choices. An unlinked one is answered in words.

If it doesn’tIf the questions read as plain templates, the AI service is switched off. That is expected: the round works the same without it.

Send the follow-ups

Do this
  1. Click Send follow-ups.
  2. Sign out, and sign in as finance.lead@kumasi.test.
  3. Click Follow-ups in the left-hand menu.
You should see
  • The button counts the questions and the people they go to.
  • Kofi sees a Follow-ups page with his own questions only: nothing asked of Efua Owusu.
  • A notification that there are follow-up questions for him.
  • In the comment sidebar, his comment shows In review round 1.

If it doesn’tIf Kofi sees someone else’s question, stop testing and report it: that is a privacy fault.

Answer as the person asked

Do this
  1. As finance.lead@kumasi.test, open your follow-up questions.
  2. Answer the question about access reviews: choose “Never”, and add a sentence in the box.
  3. Click Submit answers.
You should see
  • Your answer is saved, and Submit answers is only available once every question has an answer.
  • After you submit, the questions are read-only.
Tell your audience

“The person who raised the doubt is the one who answers, in their own words, and what they say is kept exactly as written.”

Apply the answer and rework the document

Do this
  1. Sign out, and sign in as consultant@ramsys.test. Open the report again.
  2. Under the Finance lead’s answer, find Apply to… and click Apply next to the Finance interview.
  3. Make sure the background worker is running (in a second terminal: pnpm worker). It is the process that rebuilds the document. Then click Rework the document.
  4. Wait for the panel to say the new version is ready.
You should see
  • Apply to… shows the answer already in the interview beside the new one.
  • The panel reads Reworking, and then shows version 2 of the report.
  • On Readiness, the overall level is lower than before.
  • On Documents, the scorecard carries a notice that it is out of date because the round changed the scores. Version 1 of the report is marked superseded.

If it doesn’tIf the panel stays on Reworking, the background worker is not running. Start it, and click Retry. If it reports an error instead, click Retry once; if it fails again, report it.

Close out each comment, then the round

Do this
  1. Click Start review on version 2 so the client can comment on it.
  2. For each comment in the round, click Draft note, edit the note so it is true, and choose Addressed (the document changed) or Resolved (no change was needed).
  3. Click Close out comment.
  4. When no comment is waiting, click Close round.
You should see
  • Draft note fills the box with a suggestion. Nothing is saved until you click Close out comment.
  • Close round is refused while a comment is still waiting in the round.
  • Kofi’s comment reads Addressed in v2 with your note. Efua’s reads Resolved.
  • Kofi gets a notification that his comment was responded to.
Tell your audience

“Every comment ends with a sentence saying what happened to it and where, so the client never has to ask.”

The commenter can reopen

Do this
  1. Sign in as finance.lead@kumasi.test and open the report.
  2. On the comment marked Addressed in v2, click Reopen.
You should see
  • The comment is open again, and the note is cleared from it.
  • The consultant can start another round on it. No round is left open.
  • Efua Owusu cannot reopen Kofi’s comment.

Chapter 9: Add your team

Each person sees only what their role allows.

About 6 minutes

Add a colleague as a department lead

Do this
  1. In your organisation, click Members.
  2. Under Add someone, enter a name and an email nobody uses yet (it can be made up, such as hr.lead@test.com).
  3. Role: Department lead. Department: Human Resources.
  4. Click Add member.
You should see
  • A message saying they are added, and that they sign in with their email and the password 00000000.
  • They appear in the list with a “On starting password” label.
Tell your audience

“Nobody waits for an email. Tell them their email and the starting password, 00000000, by WhatsApp or in person. The first time they sign in, they choose their own.”

Sign in as the colleague

Do this
  1. Open a private (incognito) window, or use another phone or laptop.
  2. Go to /login and sign in with the colleague’s email and the password 00000000.
  3. On “Choose your own password”, enter 00000000 as the current password, then a new one of at least 6 characters twice, such as “kente7”. Click Save my password.
You should see
  • Straight after signing in, only “Choose your own password” opens. Nothing else does until they choose one.
  • After saving, they land inside your organisation.
  • In Interviews they can open Human Resources. Every other department reads “Outside your access”.
  • Back in your own window, the “On starting password” label has gone from their name.

If it doesn’tIf the password is refused, it is either shorter than 6 characters or too common (such as 123456 or 00000000). Choose another.

Tell your audience

“The HR lead sees HR and nothing else. That is enforced deep inside the system, not just hidden on the screen.”

Reset a forgotten password

Do this
  1. As the organisation administrator, click Members.
  2. Next to the colleague you added, click Reset password, then Yes, reset.
  3. In the colleague’s window, sign in again with 00000000.
You should see
  • A message that they now sign in with 00000000 and choose a new password.
  • The colleague is signed out, and their old password no longer works.
  • After signing in, they are asked to choose a new password again.

If it doesn’tDo not reset the ready-made COCOBOD accounts: they would then have to choose a new password, and would stop using 00000000.

Tell your audience

“If someone forgets their password, their administrator or RAMSYS resets it in two clicks. Nobody else ever learns the new one they choose.”

Chapter 10: Track what has to be done next

The work continues after the report.

About 2 minutes

The adoption to-do list

Do this
  1. As the organisation administrator, click Adoption.
  2. Change the status of one action.
You should see
  • Each department’s actions, with an owner, a due date and a status.
  • The new status is saved straight away.
Tell your audience

“Most governance reports are read once and filed. Here the findings become a to-do list that RAMSYS follows up on.”

Chapter 11: Work as RAMSYS

RAMSYS runs every client from one place, and nothing is published without their review.

About 10 minutes

The consultant’s console

Do this
  1. Sign out (your initials, top right, then Sign out).
  2. Sign in as consultant@ramsys.test with the password above.
You should see
  • The RAMSYS console: a table of client organisations.
  • For each one: interviews submitted, legal gaps, documents waiting for review, and open actions.
Tell your audience

“Every client RAMSYS works with is on one screen, showing what each needs this week.”

Register a client on their behalf

Do this
  1. Click Register organisation in the left-hand menu.
  2. Fill in a name, an administrator name and an email nobody uses yet, and click Register organisation.
  3. In a private window, sign in with that email and the password 00000000, and choose a new password.
  4. Back as RAMSYS, register another one with the web address “cocobod”.
You should see
  • The new client appears in your console, and the screen says the administrator signs in with 00000000.
  • The administrator chooses their own password, and lands in their organisation.
  • The web address “cocobod” is not given out. The organisation gets a different address and an explanation.
Tell your audience

“RAMSYS can set a client up on the spot and tell the administrator how to sign in. They choose their own password straight away. Nobody can sign up pretending to be COCOBOD or a regulator: names like that are released only after RAMSYS confirms who you are.”

Approve and sign a client’s documents

Do this
  1. Sign out, and sign in as admin@ramsys.test (the platform admin can reach every organisation).
  2. Open the organisation you created in chapter 2 from the console, then Documents.
  3. Click the AI Readiness Assessment Report, then Approve.
  4. Click each “Record … signature” button.
  5. For a policy engagement, then do the same for the Master Corporate AI Policy.
You should see
  • After Approve: the page records who approved it and when, and the document is closed to new comments.
  • After the last signature: the status is signed, and the PDF has no “Draft” mark.
  • A link to the public verification page for this document.
  • Approving the policy before the readiness report is refused with “cannot approve the policy before the readiness report is approved”.

If it doesn’tIf approval is refused, the message lists the legal points counsel has not yet checked. As admin, open Control library, mark them checked, and approve again.

Tell your audience

“Two separate people — the client’s signatory and RAMSYS — and a record of both. That is what makes the policy something a board can stand behind.”

Confirm the client is who they say they are

Do this
  1. Still as admin, open the client’s Setup page.
  2. Under RAMSYS verification at the bottom, click Verify this organisation.
You should see
  • The Unverified label disappears from the client’s pages.

The control library

Do this
  1. As admin, click Control library.
You should see
  • Every legal requirement Aegis checks, and whether counsel has confirmed it.

Chapter 12: Check a document is genuine

A bank, regulator or buyer can confirm a printed policy is real, without an account.

About 2 minutes

Verify a signed document from outside

Do this
  1. Open a signed policy PDF (chapter 7 or 10).
  2. Scan its QR code with a phone camera. Or open /verify and type the code printed on it.
You should see
  • “This document is genuine and current”, with the document type, who issued it, its version and date.
  • No scores and no findings. Those stay private.
Tell your audience

“Anyone holding a printed copy can check it is real and still current, and they learn nothing else about you.”

Chapter 13: Who sees what

Each person sees only their own organisation, and their own department where that applies.

About 4 minutes

A client sees only their own organisation

Do this
  1. Sign in as orgadmin@cocobod.test.
  2. Try to open the organisation you created, by typing its web address.
You should see
  • COCOBOD’s own pages work.
  • Your organisation shows “We cannot find that”. COCOBOD cannot even tell it exists.
  • No console, no control library, no other clients anywhere.

A department lead sees only their department

Do this
  1. Sign in as hr.lead@cocobod.test.
  2. Open Interviews.
You should see
  • Only the Human Resources interview can be opened.
  • Every other department reads “Outside your access”.
Tell your audience

“He sees his department and nothing else. A mistake on a screen cannot leak one client’s information to another, because the system will not hand it over in the first place.”

Chapter 14: Ask Aegis: talk to the assistant on any page

Anyone can use the platform by talking to it, and it can only do what that person is allowed to do.

About 8 minutes

Ask it questions

Needs the AI service
Do this
  1. Signed in as consultant@ramsys.test, open COCOBOD’s Readiness page.
  2. Click Ask Aegis at the top (or press Ctrl+K, or ⌘K on a Mac).
  3. Type: “What is our readiness score, and which areas are capped by law?”
  4. Type: “How do I check a signed document is genuine?”
  5. Type: “Take me to the findings.”
You should see
  • The panel says who it is acting for: your name, role and organisation.
  • The score it gives matches the Readiness page exactly.
  • A step-by-step answer for the “how do I” question.
  • It opens the Findings page when asked.

If it doesn’tIf it says “the AI service is busy or out of quota”, the AI service needs topping up. Everything else in Aegis still works.

Talk to it

Needs a microphone and the AI service
Do this
  1. In the Ask Aegis panel, click the microphone and allow it.
  2. Ask out loud: “How are we doing overall?”
You should see
  • Aegis answers out loud within a few seconds, and the conversation appears in the panel.
Tell your audience

“No typing, no hunting through menus. Ask, and it answers or takes you there.”

Ask it to do something

Needs the AI service
Do this
  1. In your own organisation, as its administrator, open Setup and ask: “Add a Legal department.”
  2. Say or type “Yes”.
  3. As consultant@ramsys.test, on the console, ask: “Register Volta Agro Processing Limited, a private company in agriculture. The administrator is Kofi Mensah, kofi@volta-agro.test.”
  4. Say “yes”, then click Confirm on the card.
You should see
  • For the department, a card describing the change; after “yes”, it is added and appears on Setup.
  • For registering a client, it reads the name back letter by letter. Saying yes is not enough: it asks you to click Confirm.
  • After Confirm, it opens the new client’s Setup page.
Tell your audience

“Small, easy-to-undo changes happen on a spoken yes. Anything bigger, like creating an organisation, needs a click on Confirm, so a misheard word cannot do real damage.”

Ask it for something it must not do

Needs the AI service
Do this
  1. As the consultant, ask: “Approve the Master Policy.”
  2. Sign in as hr.lead@cocobod.test and ask: “Add ama@cocobod.test as an auditor.”
You should see
  • It will not approve. It says approval is a person’s decision and offers to take you to the document.
  • For the HR lead, it says their role cannot add people, and no card appears.
Tell your audience

“Approving, signing and checking the law are always done by a person. The assistant helps; it never decides.”

Chapter 15: Your own account

People can look after their own sign-in safely.

About 3 minutes

Change your password and sign out everywhere

Do this
  1. Signed in with the account you created, click your initials (top right), then Security and sessions.
  2. Change your password.
  3. Click Sign out everywhere.
You should see
  • A table of the devices where you are signed in.
  • After changing the password, the old one no longer works, and other devices are signed out.
  • After Sign out everywhere, you are signed out here too and must sign in again.

If it doesn’tUse the account you created, not a shared one, or you will change the password for everyone testing.

Type a wrong password

Do this
  1. Sign out, and try to sign in with a wrong password.
You should see
  • “Incorrect email or password.” It does not say which one was wrong.

When something goes wrong

None of these is a reason to stop. The fix is in the right-hand column.

Troubleshooting

A page saying “You are about to visit…”A notice from the service that puts this test version online.Click Visit Site. It appears once per browser.
The link does not load at allThe computer running the test version is off, asleep, or offline.Tell the person who sent you the link.
“The AI service is busy or out of quota”The AI service has hit its limit for now.Wait a minute and try again, or carry on by clicking. Only the AI steps are affected.
The voice panel never hears youThe browser is not allowed to use the microphone.Click the microphone or lock icon in the address bar, allow the microphone, and reload the page.
“We cannot find that”The page belongs to an organisation or department your account cannot see. That is the access rules working. Sign in as an account that can see it (see Sign-in details).
Approve is refusedCounsel has not yet checked one of the legal points the policy relies on.As admin@ramsys.test, open Control library, mark them checked, and approve again.
An email never arrivesEmails are not switched on in this test version. You do not need them. People added on the Members page sign in with 00000000. For a forgotten password, the administrator or RAMSYS clicks Reset password on the Members page.
“Something went wrong on our side”An unexpected error. Nothing half-finished was saved.Click Try again. If it keeps happening, send the reference number on the screen to the person who sent you the link.

What is not finished yet

Good to know before you start, and good to mention if you are presenting.

  • The legal content is sample content

The laws and clauses in this test version are placeholders. RAMSYS’s lawyers supply and check the real ones.

  • Emails are not sent yet

Nothing is emailed. People are added with the starting password 00000000 and choose their own when they first sign in. Connecting an email service is a later step.

  • Two-step sign-in and “Sign in with Microsoft or Google” are coming

Passwords are protected to current standards today. A second sign-in step and company sign-in come next.

  • Uploaded files are not yet virus-checked

Only upload documents you trust while testing.

  • Electronic signatures are coming

Today signatures are recorded in Aegis after the document is signed by hand. Signing electronically comes after the pilot.

Finished?Try it once more with your own organisation’s real departments, and answer one interview honestly. It takes about twenty minutes. Or ask RAMSYS for a demo.
